HeyGema Solution Inc. ("HeyGema", "we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website at heygema.com and related services (the "Service").
1. Information We Collect
Information You Provide
- Account Information: Name, email address, company name, and role when you create an account or join our waitlist.
- Payment Information: Billing details processed securely by our payment provider (Stripe). We do not store your credit card numbers.
- Communications: Information you provide when contacting us via email or forms.
Information Collected Automatically
- Usage Data: Pages visited, features used, session duration, and interaction patterns.
- Device Information: Browser type, operating system, IP address, and device identifiers.
- Cookies: We use cookies and similar technologies for analytics and to improve the Service. You can manage cookie preferences in your browser settings.
Consultation Data
- Audio Processing: During video consultations, our AI processes audio to generate sketches and capture design specifications.
- Generated Outputs: Sketches, design specifications, and CAD-ready briefs generated during your sessions are stored in your account for your use.
- CAD Screenshots: Images you upload to our CAD-to-render tool are processed to generate renders and are not retained after processing.
2. How We Use Your Information
We use your information to:
- Provide, maintain, and improve the Service
- Process transactions and manage your subscription
- Generate AI sketches and capture design specifications during consultations
- Send service-related communications (account updates, security alerts)
- Send marketing communications (only with your consent; you can opt out anytime)
- Analyze usage patterns to improve our products
- Comply with legal obligations
3. How We Share Your Information
We do not sell your personal information. We may share information with:
- Service Providers: Third-party companies that help us operate the Service (hosting, payment processing, analytics), bound by confidentiality obligations.
- Legal Requirements: When required by law, regulation, or legal process.
- Business Transfers: In connection with a merger, acquisition, or sale of assets, with notice to you.
4. Data Security
We implement industry-standard security measures to protect your information, including:
- Encryption of data in transit (TLS) and at rest

- Regular security assessments
No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
5. Data Retention
We retain your account information for as long as your account is active. Generated session outputs (sketches, briefs) are retained in your account until you delete them or close your account. Upon account deletion, we remove your personal data within 30 days, except where retention is required by law.

Depending on your location, you may have the right to:
- Access, correct, or delete your personal information
- Object to or restrict processing of your data
- Data portability (receive your data in a structured format)
- Withdraw consent for marketing communications

7. Intellectual Property & Design Ownership
You retain full ownership of all designs, sketches, specifications, and briefs generated through the Service. HeyGema™ does not claim any intellectual property rights over your content. We process your data solely to provide the Service.
8. Third-Party Services
Our Service integrates with third-party platforms including Google Meet, Stripe, and analytics providers (Google Analytics, PostHog, Microsoft Clarity), and Meta for advertising. These services have their own privacy policies. We encourage you to review them.
Advertising and Meta
We advertise on Facebook and Instagram. To measure those ads, our website and render tool use the Meta Pixel, and our servers use the Meta Conversions API. They tell Meta Platforms when someone visits a page, opens the render tool, creates an account or completes a render.
- What Meta receives: the event and its time, your IP address and browser, Meta's own cookie identifiers, and a hashed copy of your email address and account ID (scrambled one way, so it can’t be read back). We never send your designs, uploads or refine text.
- Why: to count which ads bring people to HeyGema™, and to show our ads to people likely to find them useful.
- Your choices: you can change how Meta uses this data in your Facebook or Instagram ad settings, block cookies in your browser, or email us to have your data deleted. Meta's own use of the data is described in the Meta Privacy Policy.
Google Analytics
Our website and render tool use Google Analytics 4 to count visits and see which pages, searches and links bring people to HeyGema™. It records the pages you view, the site that sent you, your approximate location (country and city, from your IP address, which Google does not store), your device and browser, and steps such as opening the render tool, creating an account and completing a render.
- Consent by region: in the European Economic Area, the United Kingdom, Switzerland and Quebec, Google Analytics runs in Consent Mode with analytics and advertising storage turned off. It sets no cookies there and sends only anonymous, cookieless signals. Elsewhere it sets first-party cookies (named _ga) on heygema.com.
- What we don't send: your name, email address, designs, uploads or refine text. Google Signals and ad personalization are not used for these reports.
- Retention: Google keeps event data for up to 14 months; reports built from it are aggregated.
- Your choices: block cookies in your browser, install the Google Analytics opt-out add-on, or email us to have your data deleted. Google's use of the data is described in How Google uses information from sites that use its services.
9. Children's Privacy
The Service is not intended for users under 18 years of age. We do not knowingly collect personal information from children. If we learn we have collected data from a child, we will delete it promptly.
10. International Data Transfers
Your information may be transferred to and processed in countries other than your own, including Canada and the United States. We ensure appropriate safeguards are in place for such transfers.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website. Continued use of the Service after changes constitutes acceptance.
